Job Description

Key Responsibilities

  1. Tenancy Management
  • Draft, review, and format tenancy agreements, lease documents, and related correspondence.
  • Review tenancy agreements and legal documents in both English and Chinese (where applicable).
  • Track key tenancy dates including lease commencement, expiry, renewal options, and rent review periods.
  • Manage lease renewal processes, including preparation of documentation and coordination of approvals.
  • Liaise with landlords, mall management, and external legal counsel on tenancy matters.
  • Maintain a centralised database of tenancy agreements and outlet-related documents.
  • Support new outlet openings and closures from a tenancy documentation perspective.
  1. Trademark & Intellectual Property Management
  • Assist in trademark application processes, including preparation and submission of required documents.
  • Track trademark application status, deadlines, and renewal dates.
  • Maintain and update trademark portfolio records (local and international, where applicable).
  • Liaise with external trademark agents and legal counsel on filings, oppositions, and renewals.
  • Monitor potential trademark infringements and escalate issues where necessary.
  1. Contract & Legal Documentation
  • Draft, review, and format standard legal documents including NDAs, supplier agreements, and service contracts.
  • Assist in reviewing bilingual (English/Chinese) contracts where required.
  • Maintain proper version control and document tracking.
  • Ensure legal documents are properly filed and organised (both physical and digital).
  1. Administrative & Coordination Support
  • Manage calendars, deadlines, and reminders for tenancy and trademark matters.
  • Liaise with internal departments (Operations, Finance, Marketing) on legal and brand-related matters.
  • Support coordination with external stakeholders including landlords, lawyers, and agents.
  1. Compliance & Reporting
  • Ensure timely renewal of leases and trademarks to avoid business disruption.
  • Prepare periodic reports on tenancy status and trademark portfolio updates.
  • Assist in regulatory filings where required.
  1. Financial & Billing Support
  • Track legal expenses related to tenancy and trademark matters.
  • Process invoices from landlords, legal firms, and trademark agents.

 

Qualifications:

  • Diploma in Law, Bachelor’s degree in Law, Legal/Paralegal Studies, or a related field.
  • Fresh graduates are welcome to apply.
  • Knowledge of legal terminology and procedures.
  • Proficiency in Microsoft Office Suite.
  • Strong organizational skills and attention to detail.
  • Excellent verbal and written communication skills.
  • Ability to handle confidential information with discretion.
  • Strong time management skills and the ability to prioritize tasks in a fast-paced environment.
