Overview
The Job Description:
Working with a small team of dynamic individuals, the Specialist will assist with the execution of private events that include weddings, anniversaries, and private parties.
Responsibilities:
· Provide key support to the team by planning, preparing and coordinating meetings with clients and/or vendor(s), record discussions and follow up after the meeting
· Brainstorming with the team to develop creative concepts and design based on the brief from the clients
· Review proposals and contracts on behalf of clients
· Negotiate quotations and manage budget on behalf of clients as well as internal costings for each event
· Assist the team with the execution of private events from start to finish
· Update and manage checklist and timeline for each event and provide reminders for upcoming tasks for all parties involved
· Assist with guest list management
· Provide support during events
· Keep up to date, research on new trends and styles for private events
· Create and maintain accurate and up to date records and files for all event management projects and ensure that all budgets, proposals, guest lists, events photos and contracts are properly filed
· Ensure information such as business contacts and vendor lists are updated
· Maintain vendor relations and serve as a point of contact for all selected vendors for each event
Requirements:
· Diploma or Degree in Business Studies, Event Management, Marketing, Mass Communications, Creative/Design or related field
· Minimum 3-4 years of relevant experience in Event Management or in a Creative/Design field
· An existing network of contacts in design, production and Audiovisual will be advantages
· High level of organisational and time management skills with the ability to multi-task, prioritise tasks and meet deadlines
· Passion for events
· Meticulous with strong attention to details
· Good written and verbal communications skills
· Positive attitude, resourceful nature and excellent problem-solving capabilities
· A team player with strong interpersonal skills is proactive and able to work independently
· Some night and weekend work are required
· Proficient in all Microsoft Office applications
